GAMBIT PRIVACY POLICY
Gambit Recruitment Limited (“Gambit”) follows this policy when dealing with information about an identifiable person (“personal information”). Your privacy is of the utmost importance to us, and we are committed to protecting and safeguarding your privacy rights. This policy sets out how we collect, use, store, disclose and protect your personal information in compliance with the Privacy Act 2020. 1.3. How we collect information

We collect personal information from a few sources including:

• From third-party sources including job advertising boards and reputable vendors of business-to-business vendors.
If we collect information from third party sources, we take all reasonable steps to ensure the data is obtained lawfully before we agree to their services.
1.4. Voluntary informationThe provision of personal information is voluntary, but failing to do so will affect our ability to offer recruitment services.
2. How we will use personal information
2.1. Purpose of Use
Gambit will only use personal information for the purpose set out above, or in ways that directly related to that original purpose, or where we have permission from you to use it in any other way. It may also be used where the purpose is to uphold or enforce the law or to avoid endangering someone’s health or safety.
2.2. Disclosure of personal information
Before using any personal information, Gambit will take all reasonable steps to ensure that the information is accurate, complete, up-to-date, relevant and not misleading.
2.3. Overseas disclosure
Any personal information that may be sent to organisations outside of New Zealand will only be sent to organisations that meet specific requirements of the Privacy Act, or in the case where we have received your express permission to do so, or where the purpose is to uphold or enforce the law or to avoid endangering someone’s health or safety.
3. Storage and protection of personal information

Gambit has reasonable security safeguards in place to prevent loss, misuse, or unwanted disclosure of personal information. This includes:
• Secure passphrase-protected databases.
• Encrypted storage and sharing where applicable.

3.2. Retention of personal information
We retain personal information only as long as necessary for our business functions and legal compliance. If the information is no longer required, we take all reasonable steps to securely destroy or permanently de-identify personal information.
4. Your rights in relation to your personal information
Under the Privacy Act 2020, you have the right to:
• Request confirmation of whether Gambit holds personal information about you.
• Request access to your personal information.
• Request correction of any inaccurate, incomplete, or outdated information.

5. Mandatory reporting of serious privacy breaches
Under the Privacy Act we are required to notify the Privacy Commissioner and affected nindividuals as soon as practicable if we become aware of a notifiable privacy breach. A privacy breach is notifiable if it is reasonable to believe it has caused serious harm to an affected individual or is likely to do so.
6. Unique identifiers
We may use a unique identifier (e.g., internal reference number) to store and manage personal information. This identifier will:
• Only be used where necessary for lawful business purposes.
• Not be the same as identifiers used by other organizations (e.g., government-issued IDs).
• Not be shared with external parties unless legally required.
